If you are an author of an ICER research paper, a poster, a lightning talk, or a DC paper, please follow these instructions.
(As an accepted author, you will receive an email from the Virtual Experience Team asking you to provide URLs to your materials.)
General Requirements for all Videos
The following requirements apply to any kind of video:
- Create video in 1080p format (1920×1080 with a 16:9 aspect ratio). This resolution ensures that any small text that might appear is still legible to any visually impaired viewers, or viewers who are particularly curious about a tiny detail on a slide.
- Read critical textual content. This does not mean reading everything on your slide, but everything that you want attendees to notice, ensuring that blind attendees get the same information that sighted attendees get.
- Describe critical visual content presented. This also ensures that blind attendees get the same information that sighted attendees get.
- Don’t rely on color to communicate information. There are numerous kinds of colorblindness, and the diversity is such that color is not a reliably accessible signal. Consider alternatives such as contrast differences, pattern differences, or labels.
- Embed subtitles. Please embed the captions directly in the video; this way you have full control over their placement, and you can ensure that they will not cover critical content. There are several ways to caption a video, and you even might be able to do automatic live transcription with your presentation software (e.g., Google Slides or PowerPoint).
What to submit as an ICER Research Paper Author
If none of the authors of a paper participate physically to present the paper in person, we need:
- Video of your 18-minute talk
What to submit as a Lightning Talk and/or Poster Author
If you participate in person
If you present only a lightning talk:
- PDF of your lightning talk slide to be shown when you give your lightning talk in person.
If you present only a poster:
- PDF of your poster. You also need to bring along your physical poster, to put up on the physical poster board! We will not print posters; your PDF will be placed in your discord channel.
- (Optional) 3-minute video. If you want the video to be played during the poster session.
If you present a poster AND a lightning talk:
- PDF of your lightning talk slide. To be shown when you give your lightning talk in person.
- PDF of your poster. You also need to bring along your physical poster, to put up on the physical poster board! We will not print posters; your PDF will be placed in your discord channel.
- (Optional) 3-minute video. If you want the video to be played during the poster session.
Note: The optional video will be played so that virtual participants can see it during the poster session. The PDFs of the slide and the poster will also be placed in your discord channel.
If you participate virtually
If you present only a lightning talk:
- Video of your 3-minute lightning talk. We will play that video during your lightning talk slot.
- (Optional) PDF of your lightning talk slide. If you want the PDF to be placed in your discord channel.
If you present only a poster:
- PDF of your poster. We will not print posters; your PDF will be placed in your discord channel.
- (Optional) 3-minute-video. If you want the video to be played during the poster session.
If you present a poster AND a lightning talk:
- Video of your 3-minute lightning talk. We will play that video during your lightning talk slot.
- PDF of your poster. We will not print posters; your PDF will be placed in your discord channel.
- (Optional) PDF of your lightning talk slide. If you want the PDF to be placed in your discord channel.

What to Submit as a DC Author
As communicated by the DC chairs, DC authors need to prepare recordings of their talks and be prepared for virtual poster presentations even if they attend and present in person.
If you participate in person
You need to submit:
- PDF of your lightning talk slide to be shown when you give their lightning talk in person.
- PDF of your poster. You also need to bring along your physical poster, to put up on the physical poster board! We will not print posters; your PDF will be placed in your discord channel.
- Video of your 3-minute lightning talk.
If you participate virtually
You need to submit:
- PDF of your lightning talk slide to be shown when you give their lightning talk in person.
- PDF of your poster. We will not print posters; your PDF will be placed in your discord channel.
- Video of your 3-minute lightning talk.
Note: The video will also be played during the poster session. The PDFs of the slide and the poster will also be placed in your discord channel.
